Refund Policy

This refund policy is adopted by all clients of Brookwood Cars and will apply to all vehicles as arranged on the customers behalf through Brookwood Cars .

Definitions

PHV means Private Hire Vehicle but is used interchangeably with Taxi and means Taxi as well.
Brookwood Cars is a trading name of Brookwood Cars.

Cancellations and Bookings

If you need to cancel your booking, contact Brookwood Cars promptly. Cancellations made before the booking time won’t incur charges. Refunds are subject to a 10% deduction if requested within 7 days of booking. Late cancellations within 7 days may face a penalty of up to 50% of the fare.

Airport journeys are dispatched up to an hour before flight arrival, while local journeys are dispatched up to twenty minutes before.

For unpaid cancellations, invoices must be settled within 30 days, with a minimum 10% charge for late payments. Failure to pay may result in additional charges and interest as per the Late Payment of Commercial Debts (Interest) Act 1998.

To cancel, call Brookwood Cars at +44 1483 905905 Refunds to cards are processed within 7 days, while refunds by cheque are issued within 5 days, addressed to the booking customer.

Liability

Brookwood Cars to cancel all services and provide upto 100% of the refunds (with in 7 days of the original booking date), in the event of circumstances beyond their control. If a car breaks down during the journey, Brookwood Cars will provide an alternative with a practical time allowance.

Termination

No refunds will be given for journeys terminated part way through the hire, full fare will be due to the driver and/or invoice issued if the journey is not pre-paid.

Service Delays or Disruptions: In cases where there is a significant delay or service disruption caused by Brookwood Cars, refunds or partial refunds may be issued at our discretion, depending on the nature and extent of the disruption. Booking Error: If an error occurs during the booking process (e.g., incorrect vehicle or date/time), please notify us immediately. If the error is on our part, we will issue a full refund. 2. Non-Refundable Situations Refunds will not be issued in the following situations: Last-Minute Cancellations: Customers who cancel their booking less than 24 hours before the scheduled pick-up time will not be eligible for a refund. No-Show: If a customer fails to show up for the scheduled pick-up without prior notification or cancellation, no refund will be provided. Changes in Personal Plans: If you cancel or modify your booking due to personal reasons, no refund will be issued unless it meets the cancellation terms outlined below. 3. Cancellation Policy Cancellations made more than 24 hours before the scheduled service time are eligible for a full refund. Cancellations made between 12-24 hours before the scheduled service time may qualify for a 50% refund. Cancellations made less than 12 hours before the service time are non-refundable. 4. Refund Process Refund requests can be submitted via email or phone. Once your refund request is approved, we will process it within 5-7 business days. Refunds will be credited back to the original payment method used during the booking. 5.
